Most Dealerships Think They're Listing Cars in 3–5 Days. The Real Number Is Often Closer to Two Weeks.

It's Tuesday morning. You've got six vehicles that came through over the weekend. Trade-ins, fresh stock, a couple of near-new demos. They're sitting on the lot, cleaned up and ready to go.

But they're not live yet.

Someone needs to photograph them. The guy who usually does it is tied up with a customer. The sales manager said he'd get to it this afternoon. The weather was a bit ordinary yesterday. And just like that, it's Wednesday before any of them hit the listing platforms.

Sound familiar? For most dealerships, this isn't an edge case, it's just Tuesday.

Here's the uncomfortable part: most dealers, when asked, will tell you their vehicles go live within 3–5 days of arrival. Rapid Recon, after analysing data across more than 1,000 dealerships, found that the actual number, when properly measured from arrival to live listing,  is closer to 12–15 days for the average operation. 

The gap between perception and reality is that wide, and most dealerships never know because they're not measuring it.

Getting cars live within 24 hours of arrival isn't heroic. It's a process. 

And like any process, once it's defined, it's repeatable. Here's what that actually looks like in practice.

Step 1: The vehicle is ready before the photographer arrives

The single biggest time-waster in most dealership photography workflows isn't the shoot itself, it's the preparation that should have happened before it started.

Vehicles that aren't washed, positioned, or accessible at shoot time create delays that ripple through the rest of the day. One car that needs a quick detail before it can be photographed can push three others back an hour.

Dealerships that consistently hit 24-hour listings treat vehicle readiness as a separate, prior step.

By the time the photographer arrives, the car is clean, in the right spot, and accessible.

That sounds obvious. In practice, it requires someone owning it as a specific responsibility, not assuming it'll happen.

The prep checklist doesn't need to be complicated:

  • Vehicle washed and dried

  • Interior cleared and vacuumed

  • Parked in the designated shoot bay, not blocked in

  • Keys confirmed accessible

That's it. Four things.

But without a named owner and a set time for it to happen, it often doesn't.

Step 2: The shoot follows a fixed sequence, not a loose standard

Inconsistency in photography almost always comes down to not having a defined sequence. If every photographer, or every salesperson who happens to grab a camera, decides on the fly which angles to shoot, you'll get different results every time.

A fixed sequence removes that variability. The exact angles will differ slightly by vehicle type, but the structure stays the same:

Our process covers roughly 20 to 25 shots per vehicle. With a consistent setup and no surprises, an experienced photographer moves through that sequence in 15 to 20 minutes per car, including repositioning between shots.

The discipline here isn't about aesthetics. It's about speed and predictability.

When every shoot follows the same sequence, there are no retakes because someone forgot an angle, no gaps that get noticed at upload, and no time lost making decisions that should have already been made.

Step 3: Editing and upload happen the same day, not the next morning

Photography without a same-day editing and upload commitment doesn't produce 24-hour listings.

It produces photography that sits in someone's camera roll overnight.

The workflow needs to close the loop. Practically, that means:

  • Images transferred from camera immediately after the shoot — not held on a memory card until the next visit

  • Editing completed within a few hours of shooting: colour correction, straightening, background clean-up where needed

  • Files exported to the right dimensions and file sizes for each platform (Carsales, AutoTrader, the dealer's own website)

  • Images uploaded and listing published before end of business on the day the vehicle arrived

For dealerships managing this internally, the editing step is usually where things slow down. It gets batched and done at the end of the week, or handed to someone who isn't prioritising it.

For dealerships using an external team, the same-day delivery commitment is what makes the whole system function, there's no handoff point where the work can sit idle.

Step 4: The listing goes live with the right information, not just the right photos

Photos get a vehicle clicked on. The listing copy determines whether that click becomes an enquiry.

This step gets skipped or rushed more than any other. A well-photographed car goes live with a three-line description copy-pasted from the previous listing, a mileage figure, and nothing else. The buyer has to work too hard to find what they need.

A listing that converts does a few specific things:

It leads with the vehicle's actual selling points — not a generic description of the make and model, but the things that make this particular car worth enquiring about. Recent service history, low kilometres for the year, a feature the buyer is likely searching for.

It pre-empts the questions buyers ask before they call. Finance availability, trade-in acceptance, delivery options, whether there's a warranty. Answering these in the listing removes friction and increases the conversion rate from view to enquiry.

It uses the platform's fields properly. Carsales and AutoTrader surface specific fields, features, condition, seller notes, in ways that affect how a listing appears in search. Leaving them blank is leaving visibility on the table.

A listing written to this standard takes 10 to 15 minutes per vehicle.

The time investment is real, but it's where a well-photographed car either converts or doesn't.
